Your accountant finds it in January. AI finds it on Tuesday.
Sunday evening. Laptop open, carrier bag of receipts on the table. Card machine fees here, a subscription you forgot about there, an invoice you think was paid. Every small business owner loses a Sunday evening to this. The admin lands last because the work comes first.

AI takes the sorting, the typing and the chasing off your plate. Your numbers reach you during the month, while you can still act on them. Here is a setup you can build in an afternoon, with no technical background.
Step 1: Put everything in one place first
AI is only as good as what you feed it. Pick one home for the raw material:
- One business bank account and card. Keep personal spending out of it.
- One cloud folder called "Receipts".
- One email address for all invoices and payment notices.
Do this first. It makes every step below work.
Step 2: Let AI read your receipts
Snap a photo of every receipt and drop it in the folder. Most accounting apps now include AI receipt capture, and assistants like ChatGPT or Claude read a photo or PDF and pull out the supplier, date, total and VAT.
Try this prompt: "Read these receipts and give me a table with date, supplier, amount, VAT and a spending category."
Ten minutes a week beats three days in January.
Step 3: Ask it to categorise your spending
Export your bank statement as a CSV. Upload it and ask: "Group these transactions into categories: stock, software, travel, marketing, fees, wages. Flag anything unusual or repeated that I might have forgotten."
That last line is where owners find money. Duplicate software seats. A trial that became a subscription. A supplier whose price crept up 15 percent.
Step 4: Match sales to payouts and hunt the fees
Card providers and marketplaces pay you the net figure, so the fee vanishes into the gap. Give AI your sales report and your bank payouts and ask: "Match each payout to the sales it covers and show total fees per month, as a percentage of turnover."
Two or three percent of revenue is common. Know your number.
Step 5: Set a weekly ten minute review
Same slot every week. Three questions:
- What came in and what went out?
- What is owed to me, and how old is it?
- Anything here look wrong?
Then ask AI to draft polite chaser emails for your overdue invoices. The job most owners put off takes seconds.
Three rules to keep you safe
- Check the totals against your bank before you act on them.
- Strip customer names and card numbers out of anything you upload to a public tool.
- Keep your accountant. AI keeps your records tidy and current. Your accountant tells you what to do with them.
